How FixThis! handles your information

Written for South Africa’s Protection of Personal Information Act (POPIA). Plain language, no small print.

Who is responsible for your information

FixThis! is the app used to report and resolve maintenance issues. The administrator of your building’s workspace decides what is recorded and who works on it, and acts as the responsible party for that information under the Protection of Personal Information Act (POPIA).

This notice explains what is collected, why, who may see it, and the rights you have.

What is collected, and why

  • Your account: name and email address, so requests can be tied to you and staff can reach you.
  • A request: the fault description, building and unit, and who reported it.
  • A photo of the problem, plus the time it was taken and any location stamp attached to it — this is what lets a technician find the fault and prove the repair.
  • Visit notes, completion photos and your replies about access (for example “home now”), so a visit can be completed without phoning you.
  • We do not collect identity numbers, payment details, health information, or use advertising or behaviour-tracking tools.

The lawful basis

Account and request information is processed to deliver the maintenance service you asked for. The photo and location stamp are captured on your consent, which you give each time you submit a request, and you may withdraw it by asking for the request to be closed and its record removed.

Who can see it

  • You can see your own requests, their history and your replies.
  • The administrator of your workspace can see all requests, so they can triage and delegate work.
  • The technician assigned to a request can see that request only — enough to do the job: the fault, the photo, the location and how to reach you.
  • No one else in the app can open your records. Rule-based access is enforced for every record, not just in the screens.
  • We do not sell, rent or share your information with advertisers or data brokers.

How it is protected

  • All traffic between your device and FixThis! travels over an encrypted HTTPS connection.
  • Records are stored on the platform’s encrypted cloud infrastructure, with access rules applied per record and per role.
  • Photos are kept in private storage — never on a public link. They are shown through signed links that expire within minutes, and only to people entitled to see that request.
  • Access is granted to the smallest set of people who need it, and signing in requires a verified email address.

How long it is kept

Open requests and their history are kept while your building uses FixThis!, because they are the maintenance record for the property. When you ask for your information to be deleted, your request is actioned within 30 days unless the building has a legal duty to keep a particular record.

Your rights under POPIA

  • To be told whether we hold information about you, and to receive a copy of it.
  • To have information that is wrong or out of date corrected.
  • To have your information deleted when it is no longer needed for the purpose it was collected.
  • To object to processing, and to withdraw consent for the photo and location stamp.
  • To complain to the Information Regulator of South Africa if you believe your information has been mishandled.

You can use the section below to download a copy of your information or to request correction or deletion. Your administrator must respond within 30 days.

Where it is processed

FixThis! runs on cloud infrastructure, which may process information outside South Africa. Where that happens, POPIA’s cross-border rules apply: the recipient is bound to protective terms at least as strict as this notice, and your information is not used for any other purpose.

Cookies and device storage

The app stores only what is needed to keep you signed in. There are no advertising cookies, pixels or third-party trackers.

Children

FixThis! is intended for adults managing or living in a property. It is not directed at children, and information about a child should only be submitted by a parent or guardian.
